About the role
We have an exciting opportunity for a Base Administrator to join our dynamic growing team.
This role is ideal for a proactive, organised individual seeking to build administration and facilities coordination skills in a fast‑paced aviation environment. It offers a strong opportunity for career growth within a supportive and collaborative team.
Reporting to the Base Manager, this is a hands‑on role focused on base administration, providing essential support to ensure smooth and efficient operations.
Responsibilities of the role include:
- Provide a first point of contact to all external enquiries by phone, email or in person and directing enquiries appropriately.
- Provide administrative support including filing, archiving, meeting minutes, and assisting other departments as necessary.
- Maintain accurate personnel records, including contact lists and staff recency data in Air Maestro.
- Arrange onsite accommodation for touring crew and visitors, liaise with the accommodation provider for bookings and maintenance issues.
- Schedule and conduct PHI inductions for new personnel to the base, visitors and contractors. Monitor access to airside in accordance with Karratha Airport procedures. Ensure a 100% induction standard is maintained.
- Manage accommodation bookings for crew and visitors, liaising with providers as needed.
- Maintain notice boards, ensuring information is current and regularly reviewed.
- Issue purchase orders in accordance with the Company Policy, maintain records, match orders to invoices and ensure accounts are forwarded to relevant personnel for payment.
- Order and maintain sufficient inventory in stationery and amenity supplies.
To be considered for this role, you will need:
- Good communication skills and willingness to learn
- A proactive, professional with a strong customer‑facing approach.
- Must hold or be eligible to apply for an ASIC card
- Strong computer literacy to learn PHI systems
